Current capability and authority#
Preview mapped source lines, retain durable source identity and distinguish cost recognition, accrual replacement and payment.
Clearly labeled synthetic example#
Synthetic invoice INV-100 recognizes 20,000 after reversing its matching 20,000 accrual. Paying 20,000 changes cash paid; recognized cost remains 20,000.
Inputs and terminology#
| Term | Meaning |
|---|---|
| Source identity | Source system, source document, source line and source event within the organization; matching names are not sufficient. |
| Recognition | An authorized economic cost under the configured policy. |
| Accrual replacement | A retained reversal and matched invoice recognition representing one economic cost. |
Procedure#
Prepare the import
Open Costs and Import actuals. Use the provided CSV format and map durable source identities, currency, amount, cost code, effective date and accounting period.
Preview before applying
Run validation/preview. Inspect line errors, mappings and duplicate/reconciliation decisions. An imported document alone does not define recognition.
Apply the approved preview
Review the intended normalized lines and apply the validated preview. Retain the operation reference if the response is uncertain.
Handle accruals and payments separately
Use the configured invoice-matched-accrual policy and explicit replacement reference where applicable. Record a payment as cash linked to its payable document; it does not recognize the cost again.
Reconcile the ledger
Open Ledger and the source records. Confirm effective date versus recorded time, reversals, invoice linkage and the resulting recognized-cost/cash measures.
Verify the result#
Replaying the same durable source event does not duplicate its economic effect. Corrections retain explicit reversal/replacement links.
What happens next#
An external authoritative system remains authoritative until reconciliation confirms its state.
Customer finance owners must review actual recognition/tax policies and source mappings before operational use.
